How to Sync Your Hostaway / Guesty Calendar with Your Cleaning Crew
Stop manually messaging your cleaner every booking. Three calendar-sync setups that actually work in 2026.
The single highest-leverage operational change you can make as a host with 3+ properties is killing the WhatsApp-the-cleaner-after-every-booking habit. It doesn’t scale, it loses bookings (because they don’t get logged), and your cleaner ends up scheduling against the booking that did get logged instead of the latest one.
Here are the three patterns that work.
1. iCal sync (free, works with everyone)
Both Hostaway and Guesty export a calendar feed at a unique iCal URL per listing. Your cleaner subscribes to that URL in Google Calendar (or any calendar app), and every booking — including changes and cancellations — flows through automatically.
Setup time: 5 minutes per listing. Cost: zero. Caveat: read-only and refreshes every ~2 hours, so last-minute changes can be late.

2. Cleaner-as-user inside the PMS
Hostaway and Guesty both have task management modules where a cleaner can log in as a user. The host creates a recurring “Cleaning” task triggered on check-out and assigns it to the cleaner. The cleaner sees it in their app.
Setup time: 30 minutes per property. Cost: seat licence. Caveat: cleaner has to actually use the app — most don’t, so you end up duplicating into WhatsApp anyway.
This is the right pattern if you have one full-time cleaning manager who can babysit it. For everyone else, iCal is fine.
3. Make.com or Zapier middleware
For hosts running 20+ properties, route Hostaway/Guesty webhooks to Make.com → Slack message + Google Sheet log + cleaner-app dispatch. This is what large operators use because it gives you observability — you can answer “which 3 turnovers haven’t been confirmed yet” in one query.
Setup time: half a day. Cost: AED 35-100/month in Make tasks. Caveat: you’re now a software ops person.
Which one should you actually use?
- 1–10 properties: iCal sync. Don’t overthink it.
- 10–25: iCal sync plus a Sunday-night WhatsApp from your cleaner with the week ahead, to catch anything that slipped.
- 25+: Make.com or a dedicated operations tool (Breezeway, Properly, Turno).
